1. Overview

HappyFace is an AI-powered business communication platform. Artificial intelligence is central to how the Service operates and delivers value to its users. This page explains how AI is used within the Service and how your data interacts with AI systems.

2. AI-Powered Features

AI is integral to the Service and is used across all of its core features. This includes, but is not limited to, automated communication handling, intelligent data processing, content generation, search functionality, and workflow automation. As we develop the Service, new features may also incorporate AI technology.

3. How Your Data Is Processed

To deliver the features described above, data you provide to the Service — including messages, emails, documents, and contact information — may be processed using AI technologies provided by third-party infrastructure providers. This processing occurs in real time and is limited to delivering the functionality you have requested.

We select AI infrastructure providers based on performance, reliability, and data protection standards. Our providers process data on our behalf under strict contractual obligations and do not retain your data beyond what is necessary to fulfil the request.

4. Data Usage and AI Improvement

We may use aggregated, anonymised, or de-identified data derived from your use of the Service to:

  • Improve and optimise the Service's AI features and functionality
  • Develop new AI-powered capabilities
  • Analyse usage patterns to enhance performance and reliability
  • Ensure the quality, accuracy, and safety of AI outputs
  • Train, fine-tune, and evaluate AI models used within the Service

5. Google API Data and AI

HappyFace's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • Data obtained via Google APIs (including Google Sign-In and Google Calendar) is not used to develop, improve, or train generalised or non-personalised AI and/or ML models
  • Google user data is not transferred to third-party AI providers for model training purposes
  • Google API data is used exclusively to provide the user-facing features you have authorised (authentication and calendar synchronisation)

6. Data Protection

We implement appropriate technical and organisational measures to safeguard data processed by AI systems, including:

  • Encryption of data in transit and at rest
  • Multi-tenant data isolation ensuring your data is never accessible to other customers
  • Contractual data processing agreements with all infrastructure providers
  • Regular review of provider security practices and compliance certifications

7. Your Control

You maintain control over your data and how it is used within the Service:

  • You choose which AI features to enable or disable for your account
  • You can delete your data at any time through your account settings
  • You can disconnect third-party integrations (such as Google Calendar) at any time
  • You can request a copy of your data or its deletion by contacting us

8. AI Data Retention

Where your data has been used to improve, train, or fine-tune AI models as described in Section 4, the resulting model improvements become part of the Service's general AI capabilities. These improvements are derived from aggregated and de-identified data and cannot be attributed to or extracted for any individual user.

If you request deletion of your account or data, we will delete your personal data in accordance with our Privacy Policy. However, AI models that have already been trained or improved using de-identified, aggregated data cannot be reverted or untrained. No personal data is recoverable from these models.

This does not affect your rights under applicable data protection law, including your right to request deletion of personal data held in our systems.

9. Changes

We may update this page from time to time to reflect changes in our AI capabilities or infrastructure. Material changes will be communicated through the Service. For full details on data handling, please see our Privacy Policy.
